Transcripts, diplomas and other documents

Famlo builds printable documents from your child's school record: a transcript, an hours log, a scholarship spending report, a school profile, an enrollment letter, a diploma and a certificate for any one course. They're free and they update as the record does. You print them, or save them as a PDF, from your browser.

To fill the record itself, see Your child's school record and Log home learning with Log a week.

Open a document

  1. Select Family at the top of famlo.co (on a phone, Family in the bottom bar).
  2. Select your child, then School record.
  3. Under Documents built from this record, pick a document. On a computer, the same list sits under your child's name in the left-hand menu.

You can also reach the documents from the Transcripts, diplomas & student IDs link on your Dashboard (Home on a phone).

Rows you've hidden on the school record are left out of every document and every total. Student ID cards have their own page: Student ID cards and verification.

Every document has a Print or save as PDF button above it. It opens your browser's print window. To get a PDF, choose Save as PDF (or your browser's equivalent) as the printer. There's no separate download.

Most documents cover one school year. When your child has entries in more than one year, a year switcher appears next to the button. The school year runs from August 1 to July 31.

What the documents carry about you

A few details come from your account and family settings, not from the record:

  • Homeschool name names your homeschool at the top of every document. Set it in Family › Edit (see Your homeschool name and school profile).
  • Your name prints as the supervising parent on signature lines, and your city and state print in the headers. Both come from Account settings › Personal information (Personal information). The transcript also prints your email and phone number once your name is filled in.
  • Your child's date of birth and grade come from your child's details in Family.

Transcript

The Transcript ("Every year, with credits and GPA. For college applications.") is headed "Secondary school transcript". It lists every school year on record, with no grade filter, so a high-school credit earned in 8th grade still shows.

It shows:

  • Your homeschool name, "Parent-directed homeschool", and your contact details.
  • Date of birth, Current grade, Cumulative GPA and Credits earned.
  • A table for each year: Course, Provider & instructor, Credit, Grade and Record.
  • Credit summary by subject, when credits fall under two or more subjects.
  • How each record was established, Grading scale and Certification ("I certify that this transcript is accurate and complete."), with a line for your signature and the date.

The Record column says where each course came from:

CodeMeaningWhere it comes from
ICInstructor confirmedThe named instructor at the organization confirmed attendance and completion.
PRProvider recordsAttendance from the organization's own check-in, or a paid booking's schedule. Not individually confirmed.
PParent reportedA line you added yourself.

How credits and the GPA work

  • One credit is 150 contact hours. Famlo suggests a credit from the hours when you edit a line, but never fills it in for you. You decide the credit.
  • The GPA is unweighted, on a 4.0 scale, with no honors or AP weighting. Each grade counts in proportion to its credit.
  • Only lines with both a letter grade and a credit count toward the GPA. A graded course with no credit has no weight.
  • Pass marks earn their credit but stay out of the GPA: P, Pass, CR, Credit, S, Sat, Complete, Completed.
  • Open marks earn no credit yet and don't count against the GPA: I, Inc, Incomplete, W, WD, Withdrawn, IP, Scheduled, Enrolled. A course with a credit and no grade is treated the same way. Their credit shows as "in progress" next to Credits earned, and Cumulative GPA reads In progress until something is graded.
  • Any other mark you type prints as you typed it and stays out of the GPA.

You give grades and credits on the school record. A grade an organization gave can only be changed by that organization. See Your child's school record.

Hours log

The Hours log ("Every activity and hour for the year.") is the document most states ask for when they want instruction hours counted. For one school year it shows:

  • Total hours, Provider sessions and Courses & activities. Hours that come from a booked class's published schedule, because no attendance was taken, are shown separately as "+ N scheduled".
  • Recorded by providers: each class with Activity, Provider, Dates, Sessions and Hours, from the organization's own attendance.
  • Recorded by the supervising parent: what you added, with Activity, Materials used, by title, Dates and Hours. The materials column shows the notes you wrote on each line, so name your books and programs there.
  • A signature line, and the reminder "Retain with the portfolio; your state may require it for a fixed period."

An activity with no recorded hours is still listed but adds nothing to the total.

Scholarship spending

Scholarship spending ("Every invoice a program paid for, itemized.") is for the person who reviews your scholarship or ESA spending. For one school year it lists every scholarship invoice an organization raised through Famlo for your child, with the date, provider, description, category, invoice number and amount. It totals Claimed, Paid and Outstanding, and breaks the money down By category and By status.

If your child had no scholarship-funded seats that year, it says so. More on paying this way: Paying with Step Up or an ESA.

Your homeschool name and school profile

The School profile ("The context an admissions office needs to read the transcript.") is a support document to send with the transcript, for example with a college application. It explains how credit and grades are assigned, lists each organization your child took classes with (with the courses and what Famlo recorded there), explains IC, PR and P, and includes an Accreditation section.

Most of it is filled in for you. Four sections are yours to write, on the Edit family page:

  1. Select Family, then Edit. (On the school profile, the Add them link opens the same page.)
  2. Fill Homeschool name (1). This is what every document calls your homeschool.
  3. Under Your school profile (2), fill any of Educational philosophy, Curriculum, Assessment and evaluation and Graduation requirements.
  4. Select Save.
The Edit family page with the Homeschool name field (1) and the Your school profile section (2), followed by Educational philosophy, Curriculum and Assessment and evaluationThe Edit family page with the Homeschool name field (1) and the Your school profile section (2), followed by Educational philosophy, Curriculum and Assessment and evaluation
  • Leave a school profile section blank and it's left out. A blank Curriculum lists the year's course titles instead.
  • If Homeschool name is blank, documents use your last name followed by "Home Education", for example "Rivera Home Education".

Enrollment letter

The Enrollment letter ("For a learner's permit, a work permit, an insurance discount.") confirms that your child is enrolled in your home education program for the school year. It includes their date of birth and grade, the number of courses and hours recorded so far, and the organizations that teach them. You sign it as the supervising parent.

To address it to someone:

  1. Open Enrollment letter and, if you see the year switcher, pick the year.
  2. Open Address this letter to somebody.
  3. Fill Recipient, for example a person and the office they work for.
  4. Fill Purpose, for example "a dual-enrollment application".
  5. Select Update the letter.
  6. Select Print or save as PDF.
note

The recipient and purpose aren't saved. Print the letter, then change them for the next one. With no recipient, the letter opens "To whom it may concern,".

Diploma

The Diploma ("Parent-signed and typeset.") shows the diploma type, your child's name, the credits earned across every year, any honors, and the date and place it was awarded, with lines for your signature and the date.

  1. Open Diploma.
  2. Open Graduation date, diploma type and honors under the diploma.
  3. Set Graduation date, Diploma type (it defaults to High School Diploma) and Honors (for example "with honors"; leave it blank for none).
  4. Select Save.

The award line appears once a graduation date is set.

Certificate for one course

Every line on the school record that isn't hidden has a Certificate link. It opens a certificate of completion: "Awarded to" your child "for completing" the course, with the provider, sessions, hours and school year. A line at the foot says how the record was established: confirmed by the instructor, recorded by the organization's own check-in, or recorded by you.

Famlo doesn't accredit anything

Your documents are issued by you, as the supervising parent, under your state's home education law. The school profile says so in its own words: "Famlo is record-keeping software and accredits nothing". The diploma and the enrollment letter carry the same note. What Famlo adds is a clear record of which hours and courses an organization recorded and which you entered, so a college or district can tell them apart and contact the organizations directly.

Check what your state, umbrella school or college asks for. A free state-by-state summary is a good place to start.

Troubleshooting

The transcript shows no GPA. Only lines with both a letter grade and a credit count. Add a credit and a grade to the lines that should count, on the school record. In progress means some credited lines have no grade yet.

A class is missing from a document. Check that the line isn't hidden on the school record. Booked classes reach the record the night after a meeting takes place or attendance is taken. See Your child's school record.

My documents say "Home Education" with no name, or the wrong name. Set Homeschool name in Family › Edit, and your first and last name in Account settings › Personal information.

The enrollment letter lost the recipient I typed. That's expected. Recipient and purpose are never saved. Type them again, then select Update the letter.

The PDF includes extra pages or cuts off. In your browser's print window, check the paper size and margins, and turn off headers and footers if your browser adds them.
