How Do I Transfer Group Leadership?

Whether you are stepping down, moving away, or just want to stop being the only person who can do everything, handing over an organization on Famlo takes one change on the members roster. This guide covers how to do it, and what to sort out around it.

Quick Answer

There is no separate transfer-ownership flow. You hand over by changing someone's role.

Open Members, select Edit on their row, set Role to Owner, and select Save. That is the whole mechanism. Only an existing owner can do it, and you are not demoted when you do — an organization can have several owners at once.

The six roles

Famlo has six fixed roles. You cannot build a new one or edit the permissions on an existing one.

RoleWhat it covers
OwnerFull control: settings, roles, activities, members and billing
Co-LeaderEdit the listing, run activities, approve members
Event ManagerCreate and run activities, and manage registrations
Member ManagerReview and approve people asking to join, and nothing else
Billing ManagerPayments and billing
MemberStandard participation

Two of these surprise people.

A Co-Leader is not a deputy owner. They cannot change anyone's role, and they cannot open payouts or billing. Editing the listing, running activities and approving members is the extent of it.

A Member Manager is not an administrator at all. Approving people who ask to join is the only thing the role does. It cannot edit the listing, schedule anything, or see money.

For exactly which console section each role can open, see Members, roles, and messaging.

Make someone else an owner

  1. Open the account menu and choose Manage organizations.
  2. Select your organization, then open Members.
  3. Find the person and select Edit on their row.
  4. Set Role to Owner. The hint under the box changes to describe the role you are about to give them.
  5. Select Save.

Only the owner sees these controls. Everyone else is told so at the foot of the roster.

What does not happen

Three things people expect from a transfer do not happen here, and it is worth knowing which.

  • You are not demoted. You keep the Owner role until you change your own, and both of you have full control in the meantime.
  • Nothing is typed to confirm. There is no danger-zone step and no confirmation word.
  • Nothing is undone. Changing a role takes effect on save, and the change is recorded under Recent changes at the foot of the roster with who made it and when.

An organization supporting several owners at once is the point, not a side effect. It is what lets you overlap with the new owner instead of handing over in one jump.

The last owner is protected

Famlo refuses to change the role of the only remaining owner. You are told: "You can't change the last owner's role — promote another owner first."

So the order matters. Give someone else the Owner role first. Only then can you change your own role, or leave.

Sharing the load without handing over

If you want help rather than a successor, give out the narrower roles instead. All of them are set the same way, on Edit on the person's row.

  • Co-Leader for someone who runs the organization alongside you day to day.
  • Event Manager for someone who schedules and runs activities but has no business with membership or money.
  • Member Manager for someone who works the join queue and nothing else.
  • Billing Manager for someone who watches payments while you keep the rest.

There is also Message access, which is separate from role. A teacher holding the plain Member role can be given access to conversations on their own activities, without being promoted to Event Manager and handed activity editing along with it.

Planning the transition

The role change takes a second. The handover does not.

1. Overlap deliberately

Give them Owner while you are still there. Both of you hold it, so they can learn on the real thing with you available. Change your own role once they are confident, and not before.

2. Tell your members

Members find out from you, not from a role badge. Say who is taking over, when, and what changes for them, and say it on the activities they are already registered for.

Announcements on Famlo attach to a single activity and reach the people connected to it. There is no organization-wide broadcast, so a message meant for everyone goes out from each activity it concerns.

3. Hand over what is not in the software

Write down the things that only live in your head:

  • The regular meeting schedule, and the venues and contacts behind it
  • Vendors and hosts you use for field trips
  • Pricing decisions, and who is on a comped or scholarship place
  • Anything outstanding: pending requests, unanswered messages, promised favours

4. Walk them through the console

Sit with them for one pass through the parts they will actually use: scheduling an activity, approving a join request, sending an announcement, taking attendance, and recording a payment made outside Famlo.

5. Check what moved and what did not

Before you step back, have the new owner open every section they will need, especially Payouts and Settings. Roles and console access are set out in Members, roles, and messaging, and payout setup is in Getting paid. Find out now, together, rather than three months from now on your own.

Tips

  • Promote before you plan to leave. The last owner cannot change their own role, so you need a second owner in place before anything else works.
  • Avoid busy periods. A handover during open registration means two people learning the console while families are trying to pay.
  • Leave the roster tidy. Remove roles that belong to people who have drifted away, so the new owner inherits a list that means something.
  • Stay reachable for a term. Being on the roster as a plain Member costs nothing and makes you easy to ask.

Troubleshooting

I cannot see Edit on the roster. Changing roles is owner-only. The foot of the page says so: "Only the organization owner can add members or change roles."

I cannot change my own role. You are the only owner. Give someone else the Owner role first, then change yours.

I promoted someone and I still have full control. That is expected. Promotion does not demote you, and an organization can have several owners.

The person I want is not on the roster. They have not joined yet, or their request is still waiting in Requests. Approve or invite them first, then set their role.

They say nothing changed on their side. Ask them to reload. The new role shows on their next page load.

I want to leave completely. Make someone else an owner, change your own role, then leave the organization from Memberships in your account settings.
