Refund terms (If a family cancels)

Every paid class has refund terms: what a family gets back if they cancel. You choose them, and a paid class can't be published until it has them. Set a default once in School settings › If a family cancels, then change it on any class that needs something different.

Families read your terms as one sentence on the class page, and they agree to them when they book.

The refund policies

There are five policies. Each one shows families a sentence written from your choice and your dates.

In the class editorWhat families read
Full refund any time before the first class"Full refund any time before the first class."
Full refund until a date, then half"Full refund until [date]. Half until the first class. None after."
No refund after enrolling — commits to the whole term"Enrolling commits you to the full term. Tuition is not refunded."
Cancel any time, with notice"Cancel any time. Billing stops [N] days after you tell us."
No refunds for this class"No refunds if you cancel."

Full refund until a date, then half asks for a Full refund until date. Cancel any time, with notice asks for Notice (days), and 30 days is used if you leave it blank.

The class editor lists only the policies that fit how each price is charged:

How the price is chargedPolicies offered
Paid once, in full. This is usually a class's main price, even when it covers a whole term, and also when you add a Payment plan to it.Full refund any time before the first class, No refund after enrolling, No refunds for this class
Pack of visitsThe same three
Single datesThe same three, plus Full refund until a date, then half. Each is counted to that one date, so families read, for example, "Full refund any time before the date."
Monthly (billed each month until the class ends), or a term paid in full or in installmentsThe same three, plus Full refund until a date, then half
Billed monthly with no end date (Monthly, ongoing)Cancel any time, with notice, or No refunds for this class

A single date that has no terms of its own follows the class's term price, applied to that date. A pack's unused visits are refunded under the class's terms.

A Program works differently. Its families leave by notice, set on the program's own card, so the If a family cancels row shows that notice rule instead. See Programs.

Set your organization's default

Your default applies to every paid class that doesn't set its own terms, including classes that are already published. The setting says so: "Applies to new bookings on every paid activity that doesn't set its own terms, published ones included. Families who already booked keep the terms they agreed to." To change it, you need Money set to Take payments & refund. By default that's the Owner and the Bookkeeper.

  1. Open School settings, then If a family cancels (1).
  2. Under Your standard terms (2), choose one:
    • Full refund any time before it starts: "The simplest promise to keep, and the one most families expect."
    • Enrolling commits them to the full term: "For terms where you commit the cost — a room, a kiln, a teacher — before anyone turns up."
    • Ask me each time: "No default. Every paid activity picks its own before it can go live. Published ones that used yours switch to Famlo's standard refund rule."
  3. Select Save (3).

Only those two policies can be a default. A policy that needs a date or a notice period is set on the class itself.

Until you choose, the row reads "Not set — every paid activity is asked before it can go live".

Change the terms for one class

Anyone who can edit a class can set its terms.

  1. Open Classes, choose the class, and open it for editing.
  2. In Everything else, open If a family cancels (1).
  3. Pick a policy (2). The first choice keeps what the class already has:
    • Use your default shows your organization's sentence.
    • Keep this class's terms appears when the class already has its own.
    • Not set yet means there's no default and nothing chosen: "A paid class needs refund terms before it can publish."
  4. If you chose a date or a notice period, fill it in.
  5. Save the class.

When a class has its own terms, the row shows Changed for this class. If the class has more than one price, you'll see a set of choices for each price, under the price's name, and each can have different terms.

Extras have their own Refundable tick box. When it's unticked, families are told the extra isn't refundable. See Prices, spots and ways to join.

Refund terms are needed to publish

A paid class shows Refund terms in its checklist of things to finish before families can book. If you select Publish without terms, the editor tells you: "Choose the refund policy families agree to when they enroll. Famlo will not publish terms on your behalf."

If you picked Full refund until a date, then half but left the date empty, you'll see: "Choose the date the full-refund window closes, or pick a different refund policy."

Free classes don't need refund terms.

Each booking keeps its terms

A family's booking keeps the terms they agreed to when they booked. If you change a class's terms or your default later, families who already booked aren't affected. Only new bookings get the new terms.

Changing your default does change what new families see and agree to on every published class that follows it. To keep a class on its current terms whatever happens to your default, give it its own terms (see Change the terms for one class).

If you want a class to keep particular terms whatever your default says, choose them on the class itself instead of using your default.

What refund terms cover

Refund terms decide what comes back when a family cancels a booking themselves before it starts. They apply to the class price. At checkout, the booking fee line tells families it's "Not refundable unless the organizer cancels."

After a booking has started, families can use Request a refund to ask you, and you decide. When you cancel a booking or a whole class yourself, or send a refund, that's covered in Refunds and cancellations.

Older classes that say No refunds

Some classes made before refund terms existed carry an older No refunds setting. In the editor, those classes show No refunds for this class already chosen, with this note under the prices: "This class says No refunds. A price you add follows your standard refund terms, and the prices already here keep No refunds."

To change it, open If a family cancels on the class and pick a different policy.

Troubleshooting

The policy I want isn't in the list. The list depends on how the price is charged. For example, Full refund until a date, then half isn't offered for a price paid once, in full, and Cancel any time, with notice is only for a price billed monthly with no end date. Check how the price is charged in Price & spots, or add another way to join, such as Single dates, that allows the policy you want.

I can't see If a family cancels in School settings. Your default terms need Money set to Take payments & refund. Ask your organization's owner. You can still set terms on any class you can edit.

My class won't publish. Look for Refund terms in the checklist. Open If a family cancels on the class and choose a policy, or set a default in School settings.
