Week-by-week plan

A class's plan tells families what the class is about and, if you like, what happens at each meeting and what to bring. You write it on the What you'll do page. It has an Overview, a few headed paragraphs not tied to any date, and an optional Schedule under it: week by week, or a few stages. Your team sees the week-by-week plan on the day, too. For a schedule, you write the words and Famlo fills in the dates and week numbers from the class's meetings. A plan is optional: a class can be published without one.

Open the plan

You can reach the plan from the class page or from the class editor.

  1. Open Classes, then open the class.
  2. Select the ••• menu (1).
  3. Choose What you'll do (2). If the class has no plan yet, it says Add what you'll do.

Other ways in:

  • In the class editor, the Everything else card has a What you'll do row that sums up the plan, such as "Overview + 6 of 6 weeks planned". Select Open. On a class you haven't saved yet, it says "Opens once the class is saved", because there are no meetings to plan until then.
  • The class's Listing tab has a What you'll do row. Once there's a schedule, See the plan shows it there. Edit › (or Add ›) opens the plan page.

The plan page opens with Overview, then Schedule · optional. On a wide screen, On the class page beside them shows the plan as families will read it. It "Updates when you save."

Write an overview

The Overview is "Not tied to any date. Shown first on the listing." Use it for what children will learn, who the class suits, or what to bring every time.

  1. Under Add a section, pick a heading to start from: + What they'll learn, + Who it's for, + How it works, + What to bring, or + Blank.
  2. Type or change the Heading, then a few sentences under it.
  3. Add more sections the same way, up to 6. Drag a section by its grip to reorder it. To remove one, select the × on its row.
  4. Select Save.

A section with no heading is dropped when you save. A class with an overview and no schedule still shows What you'll do on its page.

Write the plan week by week

Under Schedule · optional, "Add a breakdown under the overview, if it helps families." The week-by-week schedule has one row per meeting, from your dates.

  1. Under Schedule · optional, choose Week by week (1): "One line per meeting, dated."
  2. In each meeting's row (2), type what happens that week under What you'll do, and anything families should bring under Bring. Separate the things to bring with commas, such as "Water bottle, notebook".
  3. Leave Show this on the listing (3) ticked if families should see the plan, or untick it to keep the plan for your team.
  4. Select Save (4).

You never type a date or a week number. The count above the rows, such as "7 of 10 planned", shows how far you've got. You don't have to fill every week: a blank week doesn't show to families.

If a meeting is canceled, its row stays in the plan as "No class — this week is cancelled", and the weeks are numbered around it. Families see that date marked "no class this week", so the gap reads as planned.

To check what families will see, read On the class page beside the form, or select Preview as a family next to Save.

Choose a schedule: none, stages, or week by week

ChoiceWhat it meansWhat families see
No schedule"The overview is enough."Only your overview, if you wrote one.
A few stages"Three to five arcs, e.g. Weeks 1–2."Each stage with its weeks (for example "Weeks 1–3"), its title and description. No dates.
Week by week"One line per meeting, dated." What you'll do and what to bring, for each meeting. Each planned week with its number, its date, what you'll do and a Bring: line.

With an overview too, the schedule sits under it, headed "Week by week" or "Over the term".

To write stages:

  1. Choose A few stages.
  2. Select Add a stage.
  3. Pick the first and last week with the two Weeks menus. They only offer weeks the class actually has.
  4. Type a title ("What this stretch is about") and, if you like, a sentence about it.
  5. Repeat for each stage, then select Save.

"Three to five is usually right. A stage with no title is dropped." To remove one, select the bin icon on its row.

tip

Switching shapes doesn't throw away what you wrote. The other shape's words are kept, and the shape you choose decides what families see.

Show or hide the plan for families

Show this on the listing is ticked by default. With it ticked, the plan appears in a What you'll do section on the class's page on famlo.co: your overview first, then each week's date and what to bring, or your stages.

The What you'll do section on a class page, listing seven dated weeks, each with a title and what to bringThe What you'll do section on a class page, listing seven dated weeks, each with a title and what to bring

Untick it to keep the plan for your team only. Your team still sees it on the plan card (below), and families don't. The plan page's preview then says "Families don't see this: “Show this on the listing” is off." When the plan is hidden, the class's sign-in QR page shows the meeting's date where it would otherwise show that week's title.

In the class editor, the What you'll do row adds "Families don't see it" when the plan is hidden.

Copy a plan from last term

If you've run the same class before with a plan, you don't have to type it again.

  1. Open the plan page for this term's class.
  2. Select Copy from last term. Point at it to see which class it copies from. It sits under the week-by-week rows, and under Overview while this term's class has no overview yet.

Famlo first saves anything you've just typed, then copies the earlier plan: the overview, if this class has none, and the weeks in meeting order, so last term's week 1 goes onto this term's week 1, and so on. It only fills what is still blank, so it never overwrites what you've written. You see what was copied, such as "Copied the overview and 8 weeks from last term.", or "Nothing to copy — every week already has a plan."

Copy from last term appears only when your organization has an earlier class with the same name that has a plan to copy.

You often won't need it: when you Duplicate a class or copy your classes to the next semester, the copy brings its plan along, so next term starts already planned.

When dates change, the plan follows

The plan belongs to the meetings, not to fixed dates. As the page says: "Change the dates and the plan follows, week by week."

What you changeWhat happens to the plan
Move one meeting (••• › Add or move a meeting)That week's plan moves with the meeting.
Change the schedule's pattern, such as the first date, the time or how often it meetsThe weeks still to come are laid onto the new meetings in order, so week 1 stays week 1.
Add or remove individual dates, or move the end dateWeeks whose meeting still exists stay where they are. A removed date's plan moves to a date you added.
Meetings that have already happenedTheir plan stays as it was.

If a planned week is left with nowhere to go, for example because you removed a date and didn't add one, you see "1 week of the plan no longer has a meeting." That week's words aren't carried over, so open the plan and add them where they belong.

For changing dates, see Dates, repeats and moving meetings.

Today's plan

On the class page, under the meeting card, a plan card shows that meeting's plan:

  • On the day it's titled Today's plan. On other days it says "Plan for" and the date, such as "Plan for Tue, Oct 13". A class with more than one meeting also shows which week it is, such as "week 1 of 10".
  • What we'll do and What to bring, with each item to bring as its own chip, or "Nothing to bring."
  • A line on who else sees it: "Families see the outline and what to bring on their class page." or "Only your team sees this plan. Families don't."
  • Below it, the next meeting in one line, such as "Next week · Oct 20" and what's planned.

If you can edit the plan, the card has an Edit link, or Add the plan when nothing is written for that meeting yet. Teachers also see the card on their Today page, under the class they're teaching.

The card reads the week-by-week rows. A plan written as stages doesn't fill it.

Troubleshooting

The plan page says "No meetings yet." The class has no dates yet. "Set a date on the activity and the weeks appear here." See Dates, repeats and moving meetings.

I don't see Copy from last term. It shows only when an earlier class of yours has the same name and a plan to copy: week-by-week rows, or an overview while this class has none. If last term's class had a different name, type the plan, or rename the class to match before you copy.

Families can't see the plan. Check that Show this on the listing is ticked, and that you've written an overview section with a heading, or at least one week (or one stage with a title) under a schedule other than No schedule. Blank weeks don't show.

A week's plan disappeared after I changed the dates. If you saw "… no longer has a meeting", that week had no meeting left to sit on. Open the plan and type it into the right week.
