Record cash, check and transfer payments
When a family pays their membership dues to you directly, record it in Famlo so their membership counts as paid and Famlo stops asking them to pay. You need the Website plan and your Money access set to Take payments & refund. Recording a payment doesn't move any money. It notes a payment that already happened.
Record a dues payment
You can do this only if your organization charges membership dues. Start from Money › Dues, or from People if you can open it.
From Money › Dues:
- Open Money, then Dues.
- Under Paid outside Famlo, choose the family, then select Record a payment. Every member is in the list, including a family paying you for the first time. A member who already appears on the Dues list also has a Record a payment link on their row.
- Fill in the panel as in steps 4 to 9 below.
From People:
- Open People (1). It opens on the Parents tab.
- On the family's row, select the ••• menu (2).
- Choose Dues & payments (3). The family's dues panel opens on the right.
- In Amount paid (1), type what the family gave you, for example 45.00.
- Under How they paid (2), pick Cash, Check, Bank transfer, Venmo, Cash App, Zelle or Other.
- Check Date received. It starts on today's date, so change it if the money came in earlier.
- In Membership paid up until (3), set the last day this payment covers. If the family should never be asked to pay, leave it blank. The next section explains how this works.
- If you like, add a Note (optional), such as a check number. It's for your own records, and the family never sees it.
- Select Record payment (4).
You'll see "Recorded $45.00 from" and the member's name. You can open the same panel from the member's own panel too. In the ••• menu, choose Open followed by their first name, then select Record a payment under Dues.
What "Membership paid up until" does
The date decides how long the family counts as a paid-up member.
| What you enter | What happens | What the member's panel shows |
|---|---|---|
| A date | Until that date, the family can book members-only activities without paying through Famlo. The product says: "A week before it, they're reminded; after it, Famlo asks them to pay." | "Comped through" and the date |
| Nothing | The family is never asked to pay. This suits a founding family, a volunteer or a scholarship place. | "Comped indefinitely" |
In Money › Dues, these families show "(comped)" after their name. When a date passes and the family hasn't paid, their panel shows "Complimentary period ended — not paid".
Amount paid has to be more than zero. To give a family a free membership when no money changed hands, comp them when you add them instead.
:::tip Comp a family when you add them When you add a family with People › Add a parent, you can choose No charge — comp them. That works on every Famlo plan and doesn't need a recorded payment. :::
Families who pay by card
You can't record a cash payment for a member who is already paying their dues by card through Famlo. If you try, Famlo stops you with this message: "[Name] is paying by card through Famlo. Cancel that subscription first, otherwise recording this would leave them charged twice."
This protects the family from paying twice. Their card membership has to end before you can record payments for them. Membership dues explains how a membership ends.
No fee on money you record
Famlo takes no fee on money you record. It never passed through Famlo, so there's no booking fee and nothing comes out of your payouts. Dues that families pay by card carry the booking fee as usual. See The booking fee.
Your past records
Under Recorded off-platform, the family's dues panel lists the most recent payments you've recorded. Each one shows the amount, how they paid, the date, who recorded it and any note.
Without the Website plan
On the Free or Scholarship plan, the dues panel shows "Recording cash, checks and transfers is part of the Website plan." in place of the form, with a See plans link for the Owner and Co-leaders. Anyone else sees "Ask the owner or a co-leader to add it." Anything you recorded earlier stays listed under Recorded off-platform. To compare plans, see Famlo plans.
Troubleshooting
I don't see Dues & payments in the family's menu, or Record a payment on Dues. Both need your organization to charge dues and your Money access set to Take payments & refund. Record a payment on Dues also needs the Website plan. If you can't open People, use Money › Dues instead. To set up dues, see Membership dues.
"Enter the amount that was paid, for example 25.00." Amount paid is empty, zero or not a number. Type the amount with no currency sign.
"Choose how the payment was made." Pick an option under How they paid, then select Record payment again.
The family keeps getting asked to pay. Check the date in Membership paid up until. After that date, Famlo asks them to pay again. Record their next payment with a later date, or leave the date blank if they should never be asked.
