Cancel, unpublish or delete a class

There are three ways to stop a class: Cancel activity, Unpublish and Delete. The right one depends on whether families have booked it. To cancel or delete a class, your Classes access must be set to All classes, or you need School settings access. Owners, co-leaders and class organizers have this.

Which one to use

Cancel a class families have booked

Cancel activity cancels every booking on the class, refunds card payments and tells each family. It only shows in the menu while families hold bookings on the class.

The ••• menu on a class page with Cancel activity highlighted, above the Can't delete rowThe ••• menu on a class page with Cancel activity highlighted, above the Can't delete row
  1. Open Classes, then select the class.
  2. Select ••• (More actions) at the top of the class page. On a phone it's in the bar at the bottom.
  3. Select Cancel activity (1).
  4. Confirm. The message reads "Cancel this activity? Everyone registered will be refunded and notified."

The page then says "Activity cancelled." and how many registrations were notified and refunded. The class is unpublished, its status changes to Cancelled, and it moves to Finished on your Classes list.

There's no undo. To run the class again later, select Duplicate from the ••• menu to start a new draft from it.

note

Card refunds come out of your organization's Stripe balance.

What families get when you cancel

What they paid withWhat happens
A card (or Apple Pay, Google Pay and other card methods)Refunded to the card they used. It usually shows up in 5–10 business days.
Famlo account creditGiven back as credit.
Your organization's own scholarship awardGoes back on the award it came from.
A pack of visitsEvery visit they haven't used yet is refunded.
Step Up or an ESAIf the program hasn't paid you for the seat yet, it comes off the invoice. If the program has already paid you, Famlo can't return that money. Settle it with the program yourself.
Nothing (a free class or RSVP)The booking is canceled.

Families get one email and a notification for each order. They don't get one for each child.

For a class that meets more than once, canceling also cancels and refunds any single dates families booked on meetings that haven't happened yet. Meetings that already took place keep their bookings.

For a class split into sections, canceling the class cancels every section and refunds every section's families.

Cancel one section or one date

You don't have to cancel the whole class.

  • One section: open the class editor, find the section under Sections, and select Remove this section…. If families booked it, the panel offers Cancel [section] and refund. That cancels the section, gives each of its families a full refund of what they paid by card, and tells them. The class's other sections stay as they are. See Split a class into sections.
  • One date of a weekly class: cancel or move that meeting from the class's dates. Families then choose between a credit and a refund. See Dates, repeats and moving meetings.

Unpublish a class

Unpublish takes a class off Famlo without touching anyone's booking. Use it when you want to pause a class, fix something, or bring it back later.

The class editor's buttons with Unpublish highlighted below SaveThe class editor's buttons with Unpublish highlighted below Save
  1. Open Classes, then select the class.
  2. Select •••, then Edit details.
  3. Select Unpublish (1), under the save button.
  4. Confirm. The message reads "Unpublish [class name]? The class page stops showing to families, including anyone with the link. Your other edits on this page are saved too."

What happens:

  • The class page stops showing to families, both in search and from a shared link.
  • Families who already booked keep their places. Nothing is canceled or refunded. If they need to know, send them a message with Message families on the class page.
  • The class becomes a draft again. To bring it back, open it and select Publish.
tip

If you only want the class out of search, select Switch to link only from the ••• menu instead. The class stays bookable for anyone you send the link to.

Delete a class

Delete removes a class for good. It's meant for a class nobody has booked, such as a test or a duplicate.

  1. Open Classes, then select the class.
  2. Select •••, then Delete.
  3. Confirm "Delete this activity?".

You're taken back to your Classes list, and it says "Activity deleted."

When Delete is refused

When a class can't be deleted, the ••• menu shows Can't delete in place of Delete, with a short reason underneath. The full reason tells you what to do instead.

ReasonWhat to do
Families have booked it. This counts even if they were refunded later ("Kept as the families' record").If they still hold places, use Cancel activity. If it's still published and nobody holds a place, use Unpublish.
Families have enrolled in it (a program).Cancel any enrollments that are still running, which stops their payments. The enrollments stay as the record of what families paid, so unpublish the program instead of deleting it. See Programs.
You sent a payment request through it.Unpublish it instead.
You've taken attendance for it.Unpublish it instead.
You canceled it less than an hour ago ("You can delete this in an hour").Wait an hour. Families are still being told about the cancellation.

Bookings, payments and attendance are your records and the families' records of what they paid and when their children attended, so Famlo keeps them. A canceled or unpublished class is already hidden from families, so there's nothing more to do.

Refund part of a payment instead

If a class is going ahead but you owe a family something back, for example for a missed week, send a refund without canceling. Select Send refund on the family's booking in Money › Class payments, or from the family in People. You choose the amount, and the booking stays as it is.

Sending refunds needs Money set to Take payments & refund (by default, the Owner and the Bookkeeper). To cancel one family's booking rather than the whole class, see Refunds: sending one, answering a request, cancellations.

Troubleshooting

I don't see Cancel activity in the menu. It only shows while families hold bookings on the class. If nobody has booked it, use Unpublish or Delete. A class that's already canceled doesn't show it either.

Cancel activity or Delete doesn't work for me. Canceling and deleting need Classes set to All classes (or School settings access). Teachers can't cancel or delete classes. Ask an owner to check your access in People › Staff & teachers.

I cancelled, but a family says they weren't refunded. Card refunds usually take 5–10 business days to show up. If the family paid with Step Up or an ESA and the program had already paid you, Famlo doesn't return that money. Settle it with the program.

I cancelled a free class and still can't delete it. Wait an hour after canceling. If the menu still says Can't delete, the class has records, such as attendance, that Famlo keeps. It's already hidden from families.
