Running a class: the class page
Each class has one page in your console where you see who's coming, check children in, message families and fix anything the class still needs. Open Classes, then select the class. Teachers open their classes from Today, and Front desk staff use Open class on Today or in Schedule. What you see depends on your role: tabs and menu items you can't use are left out, not locked.
Find your way around the page
From top to bottom, the page has:
- The header. The class name, then one line with its status, its schedule, the ages, the place and the price. Beside it are the ••• menu (1), Share and Message families. A draft shows Publish instead of Share and Message families.
- The numbers under the header: who's registered, the next meeting, money or registrations, and views. See The numbers under the header.
- Pick a meeting (2), for a class that meets more than once. It picks the date the rest of the page is about.
- The meeting card, with the numbers and actions for that date.
- The tabs (3): Roster, Sessions, Families, Money, Messages, Listing and Instructors. A number on a tab is a count, such as registrations or sessions.
The status in the header reads Draft, ● Live, or the class's visibility when it isn't shown everywhere (for example Link only, Your website only or Members only), or Cancelled.
On a phone, the ••• menu, Share and Message families sit in a bar at the bottom of the screen. A draft's bar has ••• and Preview.
The ••• menu
Select ••• (More actions) for everything else you can do with the class.
| Item | What it does |
|---|---|
| Edit details | Opens the full class editor. See Create and publish a class. |
| View public page / Preview as a family | Opens the class's page as families see it. A draft shows Preview as a family. If you have your own website, View public page opens the class there and View on Famlo opens it on famlo.co. |
| Add or move a meeting | Opens the editor at the dates. See Dates, repeats and moving meetings. |
| What you'll do / Add what you'll do | Opens the week-by-week plan. |
| Course records | Opens the class's records, where you can confirm each child completed the course. See Confirm records yourself. |
| Taught by and the teacher's name, or Assign a teacher | Opens the Instructors tab. Owners and co-leaders only. |
| Duplicate | Copies the class into a new draft, after you confirm. |
| Button for your website | Builds a booking button for another website. Published classes only. See Share a class. |
| Switch to link only / Show on Famlo | Hides the class from listings but keeps its link working, or lists it again. If you have your own website, the second reads Show on Famlo + your website. |
| Cancel activity | Cancels the class, then refunds and tells everyone registered. Shown only while families hold bookings. |
| Delete | Deletes the class. Once families have booked, this row reads Can't delete ("Kept as the families' record") instead. |
The menu shows only what you can do. Someone who can't edit the class, such as a Front desk volunteer or a teacher without Edit their own classes, doesn't see Edit details, Add or move a meeting or What you'll do.
Canceling and deleting have their own rules. See Cancel, unpublish or delete a class.
Pick a meeting and the meeting card
For a class with several dates, Pick a meeting shows one chip for the whole run and one for each date:
- Series, labeled All and the number of dates (for example All 18), shows the whole class, with how many are booked.
- Each date chip shows the day, the date, how many are coming, and how many of those booked the whole term and how many came for that date only ("2 term · 0 drop-in"). The next date is marked Next.
Picking a date scopes the meeting card and the roster to that date. The date stays picked while you switch tabs, so the address in your browser is a link you can send a co-leader.
The meeting card shows:
| You picked | Numbers on the card |
|---|---|
| Series | whole term and just a date |
| One date | coming, whole term and just this date |
| A class with one date | signed up |
The card also has Copy link and Message families. On the day a class meets, it has Take attendance, which opens that day's register. On other days it says "Take attendance appears here on the day." To learn the register itself, see Attendance and check-in.
If the class has a week-by-week plan, the plan for the picked date shows under the card.
A class split into sections shows its sections here instead of the meeting strip. See Split a class into sections.
The numbers under the header
A row of numbers sits under the header, the same on every tab:
| Number | What it shows |
|---|---|
| Registered | How many are registered, out of your spots (for example "6 / 12 spots"), or "no cap". |
| Next meeting | The next date and time, or "None ahead". On the day of a published class it adds Take attendance. |
| Collected and Outstanding | Money taken and still owed. Only people who handle money see these. |
| Registrations | Shown instead of the money numbers to everyone else, "including cancelled". |
| Views, 30 days | How many people viewed the class. "N saved, not registered" counts families who saved it without booking. |
Who teaches the class is in the ••• menu (Taught by) for owners and co-leaders, and at the top of the Sessions tab for everyone.
Roster
The Roster tab lists everyone registered, with a row per child.
- Filters: All, Pending, Unpaid and Waiver unsigned. A filter shows only when it has someone in it. Unpaid is a registration that holds a place and still owes money. Waiver unsigned appears only if the class asks families to sign agreements, and lists children with a required agreement not yet signed.
- Columns: Who (the parent), Attendee, Status, Allergies, Needs & medical, Payment and Check-in. With a date picked, someone who booked only that date is marked "This day only".
- Registration details, under a row, opens the family's answers to your questions and what they signed: each agreement with its version, the name the parent typed and the date. A Signed tag means something was signed.
- People and Forms: on a class with agreements, Forms shows each child's answers and the status of each agreement, with Ask missing to sign. See Waivers and signed agreements.
- Export CSV downloads the roster as a spreadsheet. Its health columns are Allergies, Medical notes, Medications, Dietary, Emergency contact, Emergency phone and Emergency relationship, so keep the file private.
To check a child in:
- Find the child's row on the Roster tab.
- Select Check in.
- If you checked in the wrong child, select Undo beside Checked in.
The count at the top ("0 / 2 checked in") goes up as you go. Check-in on the roster is quick, but it doesn't record drop-off and pick-up. For that, use Take attendance and the register. See Attendance and check-in.
The roster says it in a line of its own: "Allergies, medical notes, special needs and emergency contacts are shared with you for attendees actively registered here, and for children whose family holds a membership in this organization." For anyone else, those columns show Not shared.
Packs. If families bought a pack of visits for this class, a Packs list sits above the roster ("N families with visits to use · N used"). Select a family to see the visits left, the next visit booked and every visit used. Give a visit back returns the most recent visit to the pack and cancels its future date. No money moves. See Prices, spots and ways to join.
Sessions
The Sessions tab lists every meeting of the class: its number, date and time, any name you gave it, Next up on the next one and Cancelled on any called off.
- For a past meeting with a register, you see "N of M present" and View. A past meeting with none says "No register taken", with Take register to take it late.
- For a meeting still to come, Open check-in opens its register.
- At the top: who teaches the class, or Nobody assigned (for owners and co-leaders it opens Instructors), Export register, and Edit series dates for people who can edit the class.
A canceled meeting keeps its row in the exported register, so a date that was called off reads differently from one where nobody took the register.
Families
The Families tab appears only on a program, where families choose their days and pay monthly. It lists each enrolled family with what needs saying, such as a payment that didn't go through or a family that's leaving. Select a family to see their payments or end their enrollment. "Nothing is cancelled unless you do it." See Programs.
Money
The Money tab is for people who handle your organization's money.
- This class: Booked, Discounts, Collected and Outstanding, with a bar that splits what was booked into the three.
- Payouts: what was taken through Famlo for this class, and Fees and transfers, which opens Money › Payouts & fees.
- Payments: a row per registration with Family, Attendee, Due, Adjustments (a promo code, Your scholarship or Credit) and Paid, which shows how and when it was paid. A family paying over time shows Payment plan or Monthly. An unpaid Step Up or ESA place links to Invoices, where it's marked paid.
- Packs: the same list as on the roster.
For refunds and the full ledger, see Refunds and The Money place.
Messages
The Messages tab has two halves:
- Announcement, to everyone registered. Add a Subject (optional), a Message and photos if you like, then select Send to N registrants (N is how many are registered) and confirm. It goes out as an "In-app notification and email, unless a family has opted out." Everything you've sent is listed under Sent.
- Questions from families, every conversation a family started about this class, with how many are open. Select one to answer it in Messages.
Message families in the header and on the meeting card opens this tab. See Announcements and Your team inbox.
Listing
The Listing tab shows what families get, part by part. "This is what families get. To change anything, open the editor: every “Edit” jumps straight to that part." Beside it, Families see this card shows the class as it looks in search.
Under On the listing, with a count such as "6 of 8 done", each part shows whether it's done and what families read:
| Part | What it covers |
|---|---|
| Title, photos & description | The name, how many photos, and the start of the description |
| Price & spots | The price, the spots and the refund terms |
| Dates & place | When it meets and where (Sections, dates & place on a class split into sections) |
| Ages, category & who can find it | The ages, the categories search uses, and who can see it |
| What you'll do | The plan, with See the plan to read it here |
| Registration questions | Your questions for families |
| Waivers & agreements | The waivers and agreements families sign |
| Who teaches | The teachers families see |
To change a part:
- Select Edit › (or Add › for a part that isn't done) on that row.
- The class editor opens at that part. Make your change and save.
Open the editor opens the whole editor, and Preview as a family opens the class's page. A draft also shows Finish the listing before you publish at the top. See Create and publish a class and Registration questions and waivers.
People who can't edit the class see the same list without Edit › links, and "Ask whoever runs your classes to change it."
Instructors
The Instructors tab shows who runs the class. A teacher whose access is set to their own classes gets this class's register, its children and its families' questions, without seeing the rest of your organization. Owners and co-leaders see this tab, because assigning a teacher takes Edit settings on the School settings line. Other staff, including people who can add staff, don't see it.
To assign a teacher:
- Open the Instructors tab. You can also select Assign a teacher (or Taught by …) in the ••• menu.
- Under Assign a team member, choose the person.
- Select Assign.
To take someone off the class, select Remove beside their name and confirm.
Under What an assigned teacher can do here, the tab lists:
| Answer | |
|---|---|
| Open check-in and take attendance | Yes |
| See allergies and medical notes for this class | Yes |
| Answer this activity's questions | Yes |
| See the Money tab | No |
| Delete this class | No |
| Edit this class's listing | Answered for each assigned person by name, for example "Maya Torres: No". "Description, price, schedule and publishing: only with “Edit their own classes” in their access." With nobody assigned, it reads "Not by default". |
To let a teacher edit the class, set their Classes line to Edit their own classes. See What staff can do. On a class split into sections, a teacher can edit the listing only if they teach every section.
For a class split into sections, each section can have its own teacher, and a teacher assigned to the whole class teaches every section without one. To add people or change what they can do, see Add staff and What staff can do.
What Publish is waiting on
A draft shows a panel above every tab, listing what's left before families can book. Publish stays grayed out until the list is empty.
Each item opens the place where you fix it:
| Item | What's missing |
|---|---|
| Set a date and a place | A name, a start time, and a place (or online) |
| Say how the price is charged | A price with how it's charged, or free |
| Add refund terms | Refund terms, for a paid class. See Refund terms. |
| Connect a way to get paid | A way for your organization to take payments, for a paid class |
| Add a cover photo | At least one photo |
| Write a description | A description |
| Pick a category | At least one category, so search finds it |
Connect a way to get paid opens Getting paid only for the person who created or claimed the listing. Everyone else sees the reason instead, so ask them. See Set up getting paid.
Only people who can edit the class see this panel and Publish.
Who sees which tab
| Tab | Who sees it (default roles) |
|---|---|
| Roster, Sessions, Listing | Owners, co-leaders, class organizers, Front desk, and teachers on their own classes |
| Messages | Owners, co-leaders, class organizers, and teachers on their own classes |
| Money, and Families on a program | People with Money set to Take payments & refund who can also open the class: by default, the Owner |
| Instructors | People with Edit settings: by default, Owners and co-leaders |
A Bookkeeper can't open class pages. They see class money in Money › Class payments.
Troubleshooting
Publish is grayed out. Look at the panel above the tabs. It lists everything still needed, with a link to each.
There's no Take attendance button. It appears on the meeting card only on the day the class meets, and only for a published class. For another date, open Sessions and select Open check-in on that meeting.
I can't see the Money tab. It's only for people who handle your organization's money. Ask an Owner to change what you can do.
I can't see the Instructors tab. Assigning teachers takes Edit settings on the School settings line, which owners and co-leaders have. Ask one of them to assign the teacher.
Edit details isn't in the menu. You can see the class but not change it. A teacher needs Edit their own classes on the Classes line, and to be assigned to the class. See What staff can do.
Allergies and medical notes say Not shared. They show only for children actively registered in the class, or whose family is a member of your organization. A canceled registration shows Not shared.
Delete isn't in the menu. Once families have booked, the class is kept as their record. Use Cancel activity instead. See Cancel, unpublish or delete a class.
