Schedule, semesters and breaks

Schedule in your console shows everything your organization runs, on the semester it belongs to. Use it to see who is teaching what, fill gaps, name your terms and breaks, and copy one semester's classes into the next.

Owners, co-leaders, class organizers and Front desk can open Schedule. Only owners and co-leaders can give a class a teacher or change semesters and breaks. Class organizers see the same information without those buttons. Front desk staff use Schedule to find any class's register: select a class, then Take attendance. Teachers don't see Schedule. They reach their classes from Today and their Teaching calendar.

Find your way around Schedule

Open Schedule in the left rail. On a phone, it's in the bottom tab bar. The page opens on today's date in the Day view.

The Schedule page in the Day view, with the Day, Week, Month and List switch, the Group by choices and a class with no teacher highlightedThe Schedule page in the Day view, with the Day, Week, Month and List switch, the Group by choices and a class with no teacher highlighted
  • Day, Week, Month and List (1) switch the view. Use the arrows to move back or forward, and Today to come back.
  • Group by (2) sorts the day's classes into rows: Teacher, Location or Age group. Each row lays its classes out across the hours of the day.
  • A class with a dashed red outline (3) has no teacher yet. When you group by Teacher, these sit together at the top in the No teacher yet row.

Next to the date you'll see how many classes are on that day, and in red, how many need a teacher and how many clash. A clash means one teacher is down for two classes at the same time. Those classes get a solid red outline, and the class says which one it clashes with.

The other views:

Once you've set up a semester, the page heading and the organization switcher at the top of the rail also show the current week, such as "Fall semester · Week 7".

The semester panel (its Semester, Co-op day, Breaks and Next semester sections, and your feed link) sits beside or below the calendar, depending on the width of your screen.

Give a class a teacher

You can pick a teacher for any class right from the Day view. The Needs you list on Today brings you here when some of today's classes have no teacher.

  1. Open Schedule, then choose Day.
  2. Select the class. A panel opens with its time, place, ages and how many have signed up.
  3. Under Teacher, select a person from your staff list (1).

The person you pick replaces any teacher the class had, and the class moves into their row. The list marks the current teacher Teaching, and flags anyone already teaching at that time with "Busy:" and the other class's name.

For a class that meets every week, picking someone makes them the teacher of every meeting of that class, not just this one.

An assigned teacher can take the class's register, see its children and answer its families, without seeing the rest of your organization. See What staff can do: roles and access.

The panel also has Take attendance, which opens that meeting's register, and Open class, which opens the class page. Everyone who can open Schedule gets these two buttons. The staff list for picking a teacher shows only to owners and co-leaders.

Set up a semester

A semester names a stretch of your school year, such as "Fall 2026". Once you have one, every week on the calendar and in Classes says which week of the term it is. You need to be an owner or co-leader.

  1. Open Schedule. If you have no semester yet, the panel says No semester yet.
  2. Select the Set up button in the panel. It reads Set up and the season Famlo suggests, for example "Set up Fall".
  3. Check the Name (whatever your families call it), First day and Last day. Famlo fills in a suggestion. You can change all of it.
  4. Choose a Co-op day if you have one, or leave it as No regular day.
  5. Select Set up semester.

You can also get here from School settings: Semesters & co-op day opens Schedule.

Weeks run Monday to Sunday. A semester that starts midweek has a short first week.

After your first semester, you add the next one when you copy classes forward: the copy creates the new semester for you if it doesn't exist yet. See Copy a semester's classes forward.

To change a semester's name or dates, select Edit (1) in the panel, then Save.

To delete a semester, select Edit, then Delete and the semester's name at the bottom. Deleting a semester removes it and its breaks. Its classes stay exactly as they are.

Choose your co-op day

Your co-op day is the day your group usually meets. It's marked on every week of the semester in the Month view. It doesn't change any class.

If you haven't chosen one, the panel suggests the day most of your weekly classes meet on.

  1. In the panel, under Co-op day, pick a day.
  2. Select Set your co-op day. Once one is set, the button reads Save.

To remove it, choose No regular day and save.

Add a break

A break, like Thanksgiving week or spring break, labels the weeks it covers on the calendar and in Classes.

warning

A break doesn't cancel anything. Meetings already scheduled in those weeks stay on, and families who booked them stay booked. If a class isn't meeting during the break, change its dates on the class. See Dates, repeats and moving meetings.

  1. In the panel, under Breaks, select Add a break (2).
  2. Enter a Name, such as "Thanksgiving".
  3. Choose the First day off and Last day off. Both must fall inside the semester.
  4. Select Add break.

To remove a break, select the × beside it and confirm. Its weeks stop being labeled as a break.

Which classes belong to a semester

A class belongs to the semester its first meeting falls in. You don't file classes into a semester yourself. If you set up your semesters after you've been running for a while, your existing classes are already sorted into them.

A weekly class that keeps going past a break, or past the end of the term, still belongs to the semester it started in. Canceled classes aren't counted. If you change a class's dates, it moves to whichever semester its new first meeting falls in.

Copy a semester's classes forward

When a semester is done, you can copy its classes into the next one instead of setting each one up again. You need to be an owner or co-leader.

  1. In the panel, under Next semester, select the copy button (3). It names the two seasons, such as Copy Fall to Spring. On Classes, the same thing is Copy to next semester.
  2. If the next semester already exists, confirm the copy.
  3. If it doesn't exist yet, a panel opens with a suggested name and dates. Check them, then select Create and copy classes.

What happens:

  • Every class is copied as a draft, on the same weekday and time, moved forward by whole weeks. Nothing is published, and no family sees anything, until you publish each class.
  • Prices come with the class, and the dates on them move forward too.
  • Teachers and bookings are not copied. Choose next term's teachers from the Day view or the class.
  • Classes that would start after the new semester ends are not copied. The message after the copy says how many.
  • Copying again skips classes that are already there, so a second click doesn't make duplicates.
  • When you publish a copy publicly, Famlo emails the families who saved last term's class about the new one. A family who also follows you, or has a matching location alert, gets one email, not two.

The message after the copy reads "Check the dates and teachers, then publish." Open each draft from Classes to review and publish it. See The Classes list and Registrations.

Check these prices

Some prices are paid in installments or monthly. If the new semester is shorter, those prices are changed so they don't bill after the class ends. That means fewer payments, and a different total.

When that happens, the copy takes you to Check these prices: "These copied prices now bill for fewer months, to fit their new dates." Each row names a class and explains what changed.

  1. Select a class to open it in the editor.
  2. Check the price, and change it if you need to. See Prices, spots and ways to join.
  3. When you're finished, select Done.

Your Teaching calendar feed

You can add your teaching schedule to Google, Apple or Outlook. Your Teaching calendar covers every class you run or teach, in every organization you lead, not just this one. You'll also find it in the account menu (your avatar), under Teaching calendar.

  • In the panel, under In your own calendar, select Copy feed link (4), then add it to your calendar app as a subscription.
  • If you see Turn on the feed instead, select it, then Enable calendar feed.

Your calendar app refreshes on its own schedule, so changes can take a while to show.

caution

Your Teaching calendar feed and your family calendar feed share one private link. If you regenerate the link or turn the feed off, you change both. Manage the link from your own Calendar, under Subscribe. Anyone with the link can see your calendar, so don't share it.

To give families a calendar of your classes, use the feed link on your website instead. See Analytics, the cookie banner and your calendar feed. For step-by-step app instructions, see How do I export my calendar to Google or Apple?.

Troubleshooting

I don't see Edit, Add a break or the copy button. Only owners and co-leaders can change semesters and breaks or copy a semester forward. Class organizers see the semester without those buttons. See What staff can do: roles and access.

Setting up a semester says another semester "already covers some of these dates". Two semesters can't overlap. Change the dates, or edit the other semester first.

I added a break, but classes still show that week. That's expected. A break only labels the weeks. Change the class's dates if it isn't meeting. Families with bookings hear about the change.

A class shows up in the wrong semester. A class belongs to the semester its first meeting falls in. Check the class's first date, or the semester's dates.

The person I want isn't in the teacher list. The list shows your staff. Add them first under People › Staff & teachers. See Add staff, connect their accounts, and your Staff page. If a class says "Written in as" a name "who isn't on your staff list", that name was typed in on the class. Pick a staff member to replace it.

The copy button says the semester "has no classes to copy yet". No classes start within that semester's dates. Check the semester's dates under Edit.
