Add staff, connect their accounts, and your Staff page

You can add a teacher, volunteer or staff member with just their name. They appear on your Staff page and can be put on classes right away, and you connect their Famlo account later so they can sign in. Adding people takes Add & edit staff on the Staff line, which Owners have. Co-leaders don't have it by default.

Add a teacher or staff member

Nothing is sent to anyone unless you give an email address.

  1. Open People, then the Staff & teachers tab.
  2. Select Add a teacher or staff member.
  3. Type their Name (1). This is the only field you need.
  4. If you like, add a photo with Upload a photo, a Title families see (for example "Art teacher" or "Friday volunteer") and a Short bio of up to 400 characters for their card.
  5. Leave Email (optional) (2) empty, or type their address to invite them now.
  6. Under What can they do? (3), pick a starting point. It's Teacher unless you change it.
  7. Leave Show on our Staff page ticked to list them publicly, or untick it.
  8. Select Add to staff (4).
The Add a teacher or staff member panel with the Name, Email, What can they do and Add to staff controls highlightedThe Add a teacher or staff member panel with the Name, Email, What can they do and Add to staff controls highlighted

You see "Added" and their name, and they appear on Staff & teachers with the status No email yet. Photos can be JPEG, PNG, WebP or GIF, up to 10 MB. A square photo of their face works best.

The choice under What can they do? only applies once they can sign in. The choices are Co-leader, Class organizer, Teacher, Front desk, Bookkeeper and Profile only. Pick Profile only for someone who should be on your Staff page with no access to anything. You can change any area later. See What staff can do: roles and access.

To put someone on a class, open the class and assign them on its Instructors tab, or pick them under Who runs it? in the class editor. Assigning teachers takes Edit settings on the School settings line, which owners and co-leaders have. If you choose Someone else… under Who runs it? and type a name, that name is added to your Staff page as a profile with no sign-in. See Create and publish a class.

Connect their Famlo account

A profile without an account can't sign in, see a register or get messages. Select the person on Staff & teachers to open their panel. The box at the top says No Famlo account connected and gives you two ways to connect one.

A teacher's panel with Add their email, They already have an account and Edit highlightedA teacher's panel with Add their email, They already have an account and Edit highlighted

By email. Select Add their email (1), type their address, and select Send.

  • If nobody on Famlo has that address, they get an email titled "You're invited to join" your organization, with Create your free account. When they sign up with that address, the profile becomes theirs and they land in your console. The invitation also shows under Invitations on People › Requests & invites, where you can Resend or Revoke it.
  • If someone already has an account with that address, Famlo asks them to confirm instead (see below).

If they already have an account. Select They already have an account (2) and type in Find them by name or email, then select Search. A name search finds only your own members and families. Anyone else you find by their exact email address. Email addresses are partly hidden, and a Name matches tag shows when the name is the same as the profile's. Select This is them.

While you wait, the box says "Invite sent to" their address, or "Waiting for" their name "to accept". Nothing changes on the profile until they answer.

You can't connect someone who is already on your staff. Change their own row instead.

What the person sees and accepts

Someone with an account gets a notification, "Your organization wants to list you as staff", and an email with Review the request. The request page shows:

  • the profile you made: photo, name, title and bio;
  • What you'd be able to do, in plain words;
  • the classes you've put them on.

It explains that if they accept, the profile becomes theirs and your organization can see their name and email. They choose Accept or Decline.

  • Accept: the photo, bio, classes and access move onto their account, and they see "You're on the staff at" your organization. If they already belonged to your organization, for example as a parent, the profile joins their existing membership so they aren't listed twice.
  • Decline: nothing changes. You can ask again later.

Invitations and requests are good for 30 days. After that they no longer connect anyone: signing up with the invited address doesn't claim the profile, and a request that ran out tells the person "That request has already been answered or withdrawn." Their status on Staff & teachers reads Invite expired. To try again, open the person's panel:

  • For an email invitation ("Invite to [email] expired"), select Resend. It sends a fresh invitation, good for another 30 days. You can also choose Use a different email.
  • For a request to an existing account ("Your request to [name] expired"), select They already have an account and pick their account again.

Edit a staff profile

Open the person's panel and select Edit (3) next to Photo, title and bio. You can change:

FieldWhat it does
Change photo / Remove this photoTheir picture. A connected person with no photo here shows their own profile picture.
NameFor a connected person, leave it empty to use the name on their account.
Title families seeShown under their name, up to 80 characters. Left empty, most people show their role, such as Teacher.
Short bioThe text on their card, up to 400 characters.
Show on our Staff pageLists them publicly, or hides them. The same switch is in the panel as Shown on your Staff page.
Feature at the topA large card above everyone else. You can feature more than one person.
SectionThe heading they're grouped under, such as Teachers, Leadership or Volunteers, up to 60 characters.
Profile storyThe longer bio on their own page, up to 5,000 characters. Empty, their short bio is used.
Teaches asA studio or business, shown under their title.
Profile addressThe end of their page's address, after /staff/.
OrderWhere they sit on the page. Lower numbers come first.

Select Save. If you leave Section empty, Famlo picks one: Owners and Co-leaders who don't teach go under Leadership, Class organizers, Front desk and Bookkeepers who don't teach go under Team, and everyone else goes under Teachers.

Who can edit profiles: anyone who can edit your School settings, edit your website, or add and edit staff. Teachers can edit their own (see below).

Your public Staff page

Your organization's page on famlo.co gets a Staff tab once you have someone to show. Its address is your page's address followed by /staff, for example famlo.co/co-op/sunnyside-learning/staff.

A public Staff page with teacher cards showing name, title, subjects and bioA public Staff page with teacher cards showing name, title, subjects and bio
  • Featured people come first, in large cards.
  • Everyone else is grouped by Section. People with an Order number come first, lowest first, then people who teach a public class, then everyone else by name. A section sits where its first person does, so Order arranges the sections too.
  • Each card shows the photo, name, title, Teaches as, short bio and their classes this term.
  • Each card opens the person's own page, at /staff/ plus their Profile address. It shows their Profile story, their classes and more of your staff.

Only people with Show on our Staff page on are listed, and a hidden person's own page shows "not found". Families who joined your organization appear only if you put them on a class.

If your organization has a website, the same profiles appear on your website's teachers page. See Your Famlo website: what you get.

Teachers editing their own profile

A Teacher can edit their own photo, title and bio. Their Website line is set to Their own profile by default.

  1. Open your console. You land on Today.
  2. Select Your staff profile.
  3. Change what you need on Your profile, then select Save.

To stop someone editing their own profile, set their Website line to No access. See What staff can do: roles and access.

Troubleshooting

"A staff profile needs a name." A profile with no account has no other name to show. Type one, or connect their account first.

"That person is already on your staff. Change their own row instead." The account you picked already has a staff row. Edit that row, and remove the extra profile if you made one.

Someone signed up, but the profile didn't become theirs. It connects only when they sign up with the exact address you invited, before the invitation expires. Ask them which address they used, then select They already have an account and find them by that email.

A teacher isn't on the Staff page. Check that Shown on your Staff page is on in their panel and that the profile has a name.
