People: families, children, join requests and invitations
People in your console lists every family and child connected to your organization. It's also where you add families, invite a list of people, and answer requests to join. Each tab shows only to people whose access covers it, so your staff may see fewer tabs than you do.
What's on the People page
The page opens on Parents. The line under the heading counts your parents, the kids registered and the registrations. Below it is a row of numbers, and you see each one only if your access covers it:
| Number | What it counts |
|---|---|
| Kids | Children in your classes, with their age range |
| With an allergy | Children with an allergy on record, and how many are severe |
| Dues past due | Families behind on membership dues (only if you charge dues) |
| Invitations out | Invitations not yet accepted, and when the next one expires, or how many have expired |
The tabs, in order, are Parents, Kids, Staff & teachers, Requests & invites (join requests and invitations, on one page), Mailing list and Forms (signed agreements, when your organization asks families to sign them). Staff are covered in What staff can do and Add staff. The mailing list has its own page.
Who sees what

| Requests & invites: Join requests | Families & children set to Add & approve | Owner, Co-leader |
| Requests & invites: Invitations, and Add a parent, Invite parents, removing a family | Staff set to Add & edit staff | Owner |
| Dues chips and Dues past due | Money set to Take payments & refund, in an organization that charges dues | Owner |
| What each parent owes, and the Owes money filter | Money set to View or Take payments & refund | Owner |
| Children's allergies | People who run every class or check in every child | Owner, Co-leader, Class organizer, Front desk |
| Forms | People who run every class or check in every child | Owner, Co-leader, Class organizer, Front desk |
| Mailing list | School settings set to Edit settings, in an organization that builds a mailing list (see its page) | Owner, Co-leader |
Teachers and bookkeepers don't see People. A teacher sees their own students from their classes instead. See What staff can do to change someone's access.
Parents
Parents has one row per parent, with their kids and the classes each kid is in. A parent appears here if they joined your organization, or if they booked a child, or a place for themselves, into one of your classes, even without joining. Staff appear here only if their own children, or they themselves, are booked. People who only work for you are on Staff & teachers.
Each row shows:
- The parent's name and email. Their phone number shows too once their family is booked into one of your classes. If they joined, select their name to open their panel.
- A Member tag if they joined your organization, a role tag if they're also on your staff, and, for people who can see dues, a dues tag: Paying, Past due, Hasn't paid, Comped or No dues on file.
- Each of their kids as a chip with the child's first name and age, followed by every class that child is in that hasn't finished yet. Select a child's chip to open their record. A child with no current classes shows "Not registered for anything".
- Themselves, with their classes, if the parent booked a place for themselves.
- A Waitlist chip for each full class they're on the waitlist for.
- "No kids registered yet" if they joined but haven't booked anything, with a Send a class link link that starts an email to them with a link to your organization's page.
- For people with Money access, what they owe you: an amount "due" with a Request link, or "Paid up".
Search and filter
Above the list, search by a parent's, kid's or class's name in Search a parent, kid or class. To narrow the list:
- Class: only parents with a kid (or themselves) in that class.
- Owes money: only parents who owe you. Shown to people with Money access.
- Has an allergy: only parents with a child who has an allergy on record. It appears after you select Reveal allergies.
Select Clear to see everyone again.
The ⋯ menu
The ⋯ menu at the end of a row holds:
| Item | What it does | Shown to |
|---|---|---|
| Email [first name] | Opens a new email to the parent in your email app | Everyone who sees the row |
| Request payment | Asks the family to pay | Money set to Take payments & refund |
| Send refund | Sends money back without cancelling anything | Money set to Take payments & refund |
| Open [first name] | Opens the parent's panel, where you can see their dues and remove them | Parents who joined or are on your staff |
| Dues & payments | Opens the family's membership dues | People who can see dues |
Kids
Kids lists every child booked into one of your classes. A child appears once their family books them into a class. Each row shows the child's age and grade, their family, and how many of your classes they're in now (current classes). Select a row to open the child's record.
Forms: who has signed your agreements
Forms appears when your organization asks families to sign agreements, which is on unless you turn off Ask families to sign agreements in School settings › Registration form. It lists each agreement your classes use, with how many classes use it, how many families have signed, and either how many required signatures are missing or None missing.
Select an agreement to see its classes, each marked "All signed" or with how many are missing. Select a class to open its roster and see who still needs to sign.
Allergies stay hidden until you reveal them
On Parents and Kids, allergies are hidden at first, with the note "Allergies are hidden while this screen may be overlooked." This keeps them off a screen that other people might see.
- Select Reveal allergies.
- Each child with an allergy gets a flag on their chip or row: red for severe, amber for anything else.
- When you're done, select Hide again.
The allergies also hide again by themselves when you stop using the screen, and every reveal is recorded. Open a child's record to read the details.
Export your families
Select Export at the top of People to download your families as a CSV file. It has the columns Family, Guardian, Email, Children and Kids & classes, plus Dues if you can see dues. The file never includes allergies or other health details. For your other exports, see Export your data.
Add one family
You need Staff set to Add & edit staff (the Owner preset has it).
- Open People, then select Add a parent (1). The Add a family panel opens.
- Enter the parent's Email address.
- If your organization charges dues, choose how they'll pay:
- They pay for their own membership: they'll be asked for payment before they can book members-only activities.
- No charge — comp them: for volunteers, scholarship families, or anyone who already paid you directly.
- Select Add family.
What happens next depends on the address:
| The address | What happens | What you see |
|---|---|---|
| Already has a Famlo account | They join now and get a notice and an email that they've been added. If they're paying, they're also told their membership payment is due. | "Added [name] as Member." |
| Has no account yet | They get an email, "You're invited to join [Org] on Famlo". They join when they sign up with that address, and your pay or comp choice applies then. | "Invited [email]. They'll join [Org] as Member when they create an account." |
| Already a member, or invited and the invitation hasn't expired | Nothing changes. | "[email] is already on the roster or already invited." |
If an earlier invitation to that address has expired, adding them sends a fresh one, good for 30 days.
You can change this choice later from the family's dues. See Membership dues. To add many families at once, use Invite parents (2) or the link Adding lots of families?
Invite a list of people
Invitations, on the Requests & invites tab, adds many people at once. You need Staff set to Add & edit staff. Anyone who already has a Famlo account joins straight away. Everyone else gets an email invitation and joins when they sign up with that address.
- Open People, then select Invite parents or the Requests & invites tab.
- Paste addresses into Paste emails (1), one per line. Or select a .csv file under …or upload a file (2).
- Select Send invitations (3).
Limits:
- A list can have up to 500 rows. Only the first 500 are read, so split a longer list into separate uploads.
- A list of 25 rows or fewer is handled right away. You see "Processed N rows." and a Last import box that counts Added, Invited, Already there and Invalid.
- A longer list is queued: "Queued N rows — invites will be sent shortly." You don't get a Last import summary for it, so check the pending list and Parents afterwards.
Give people a role in your CSV
Everyone joins as a Member (a family) unless you say otherwise. To bring in staff too, use a CSV with an email column and a role column:
email,role
parent@example.com,member
teacher@example.com,teacher
The role column takes these words:
| Write | They join as |
|---|---|
member | Member (a family) |
teacher | Teacher |
event_manager | Class organizer |
front_desk | Front desk |
billing_manager | Bookkeeper |
co_leader | Co-leader |
profile_only | Profile only |
owner | Owner, but only if you're an owner yourself. Otherwise they join as a Member. |
A blank or unknown role joins as a Member. If your file has no email heading, the first column is read as the email and the second as the role. To add a teacher who has no email yet, see Add staff.
Pending invitations
Below the form is the list of pending invitations: people invited by email who haven't signed up yet. Each shows "Joins as [role] · Invited [date] · Expires [date]".
- Resend sends the invitation email again and gives it a fresh 30 days. The message confirms it: "Resent the invitation to [email]. It now expires [date]."
- Revoke cancels it, after you confirm.
Invitations expire 30 days after they're sent, and an expired one shows "Expired [date]". An expired invitation no longer works: if the person signs up with that address afterwards, they aren't added to your organization. Select Resend to send a fresh one. Inviting the same address again in a new list does the same. Today reminds you about invitations that are about to expire.
There are no invite links or invite codes. Invitations go to one email address each, and the person joins when they sign up with that address. Families can also find your organization on Famlo and join from your page.
Join requests
If your organization reviews families before they join, which you set in School settings › Joining, requests wait under Join requests on People › Requests & invites. People in the rail shows how many are waiting, and Today lists them under Needs you. You need Families & children set to Add & approve (Owners and Co-leaders have it).
The list shows each family's name, email, when they asked, and how many answers they gave. "Card on file — approving charges them" marks a request where the family will pay dues.
To approve:
- Open People, then Requests & invites.
- Under Join requests, select Review on a request. You see their Screening answers and, if you ask for it, that they agreed to your group rules.
- Select Approve request (1), then confirm.
You can also select Approve straight from the list.
To deny:
- On the review page, choose a Reason for denying (2): Incomplete answers, Does not meet criteria, At capacity, Duplicate or Other.
- Add a Note if it helps. It's optional.
- Select Deny request (3).
The family gets an email saying the request wasn't approved, with your reason and note. Denying only happens from the review page, because it asks for a reason.
When joining costs money
If you charge dues, the family's card is saved when they ask to join but isn't charged yet. The review page says "Card on file — charges on approval. Nothing has been charged yet." Approving charges their first dues payment, including the booking fee unless you pay it yourself, and makes them a member. You can only approve a paid request once your organization can take card payments. See Membership dues for what happens if a card is declined or needs the family to confirm.
A request nobody reviews closes by itself after 30 days, and the family can ask again.
Remove a family
You need Staff set to Add & edit staff. You can remove families who joined. A family who only booked a class isn't a member, so there's nothing to remove.
- Open People, then Parents.
- On the parent's row, select their name, or open the ⋯ menu and select Open [first name].
- Select Remove from [Org], then confirm.
They lose their member access and see a notice that they were removed from your organization. Their bookings aren't cancelled by this. To cancel a booking, see Refunds and cancellations.
If the family pays dues, removing them also ends their dues straight away, so they aren't charged again. The confirmation says so: "Remove [name]? Their dues are cancelled now and they won't be charged again." If they paid by card, the unused part of what they paid for the current period is refunded to their card, and the confirmation shows about how much. If they paid you directly, it says "They paid you directly, so refund any unused part yourself."
Ending dues this way also needs Money set to Take payments & refund. Without it, Famlo stops and says "[name]'s dues are still running. Ask an owner or billing manager to cancel them on the Dues page first." To choose when the membership ends or how much to refund, use Money › Dues instead. See Membership dues.
Troubleshooting
A family I invited says they never got the email. Check the address under Invitations on Requests & invites, then select Resend. Ask them to look in spam, and to sign up with exactly that address. If the address was wrong, select Revoke and invite the right one.
Someone signed up with the invited address but didn't join. The invitation had expired before they signed up. They have a Famlo account now, so add them with Add a parent and they join straight away. You can then Revoke the old invitation.
I invited someone, but they don't appear under Invitations. They already had a Famlo account, so they joined straight away. Look for them on Parents, or on Staff & teachers if you gave them a staff role.
My upload says "We couldn't find any email addresses in that CSV."
Make sure the file is a .csv with one address per row, either with an email heading or with the address in the first column.
I can't see Requests & invites, Invitations or Add a parent. Those need more access than the rest of People. Ask an owner to check your access in What staff can do.
Approving a request says we can't take card payments yet. Paid requests can only be approved once card payments are set up. The person who created or claimed the listing does this in Set up getting paid. Nothing is charged until then.
